This Privacy Policy explains how Flexi Book Services, trading as Flexi Book Services, collects and uses personal data when you use www.flexibookservices.com. We are a data controller under the Data Protection Act, 2012 (Act 843) of Ghana.
1. Data we collect
- Account data: name, email, phone, region, city, business name (Artisans), photo.
- Booking data: name, phone, email, address, service requested, date/time, notes.
- Reviews: name and rating you submit.
- Technical data: IP address, device, browser, pages viewed (to operate the site and prevent abuse).

2. Why we use your data (lawful basis)
- Performance of contract: to create your account, process bookings, and connect you with Artisans.
- Consent: for non-essential cookies and marketing emails (where applicable).
- Legitimate interest: to improve the Platform, prevent fraud, and keep the service safe.
- Legal obligation: to respond to lawful requests from Ghanaian authorities.
3. Sharing
We share data only as needed to run the service:
- With the Artisan you book, so they can contact and serve you.
- With our infrastructure providers (cloud hosting, email, analytics) under data-processing agreements.
- With authorities when required by Ghanaian law.
We do not sell your personal data.
4. Where your data is stored
Personal data is hosted on secure cloud infrastructure provided by our processors. Some processing may take place outside Ghana. We rely on contractual safeguards to protect transferred data in accordance with Act 843.
5. How long we keep data
- Account data: while your account is active, plus up to 24 months after closure.
- Bookings and financial records: up to 6 years for tax and audit purposes.
- Reviews: published until you or we remove them.
- Acceptance logs: kept as evidence of consent for 6 years.
6. Your rights under Ghana’s Data Protection Act
You may, by writing to us:
- Access the personal data we hold about you;
- Correct data that is inaccurate or out of date;
- Request deletion of data we no longer need;
- Object to or restrict certain processing;
- Withdraw consent (where processing is based on consent);
- Lodge a complaint with the Data Protection Commission of Ghana.
7. Security
We use industry-standard safeguards including encryption in transit, access controls, row-level security, and regular reviews. No system is 100% secure, but we take your data seriously and act promptly on any incidents.
8. Children
The Platform is not directed at people under 18 and we do not knowingly collect data from children. If you believe a child has given us personal data, contact us and we will delete it.
